The Team

The Facilities and Administration Assistant sits as a member of the small Facilities and Administration team. Reporting to the Facilities Manager, the team is responsible for administrative and facilities activities that support the smooth running of the London office.

The Role

The successful candidate will have excellent organisational and time-keeping skills as this role will require you to manage a wide variety of tasks on a daily basis. This will include providing support to the Facilities Manager, assisting with customer service queries, supporting reception and post functions, managing the main London book library and archive, liaising with contractors, reporting maintenance issues and managing stock.

Other key activities include:

  • Maintaining and overseeing the main book library area and Archive library, placing orders for new books as required.
  • Regularly updating our library catalogue and iPad system.
  • Managing office supplies through regular stock checks such as stationery, business cards, food and drink, furniture and other miscellaneous items as required.
  • Liaising with contractors to ensure supplies are appropriately stocked.
  • Approving, coding and receiving invoices.
  • Supporting with management of incoming and outgoing post.
  • Booking staff onto facilities training courses (i.e First Aid at Work).
  • Providing support on staff and external events helping with logistics, refreshments, room booking and organisation.
  • Other ad-hoc administrative duties such as occasional minute-taking.

Skills / Experience

  • Ideally previous experience within a Facilities or office administrative role.
  • Excellent customer service skills on the phone, over Email and in-person.
  • Excellent organisational skills with the ability to juggle multiple tasks at once.
  • The ability to stay calm under pressure.
  • Proficient computer/digital skills including Microsoft Office (i.e Excel, Word and Outlook), MS Teams and DropBox
  • Excellent verbal and written communication skills.
  • Confident working independently as well as being a team-player.
  • Attention to detail.
  • GCSE / GCE qualifications in Maths and English.
  • Good understanding of purchasing, invoicing & procurement processes.
  • Experience of managing external relationships.
  • Self-motivated, focussed and reliable/

Location and Benefits

We offer a 35-hour working week from our offices in Farringdon, London. This role is predominantly office based, however after a successful induction period there may be flexibility to work occasional days from home.
