This role is to ensure equipment is in full working order and continue to service meeting spaces throughout the day maintaining required Warwick Conferences standards. This includes ascertaining the audio-visual requirements of customers/guests.

Job Description

JOB PURPOSE

Organise and check meeting spaces requirements according to the daily function sheets, ensuring special requirements are met. Ensure all equipment is in full working order and continue to service meeting spaces throughout the day maintaining required Warwick Conferences standards. This includes ascertaining the audio-visual requirements of customers/guests.



DUTIES & RESPONSIBILITIES

Operational

  • Set up audio-visual, IT equipment according to customer requirements.

  • Support the customer in resolving difficulties with equipment.

  • Check function sheets and department notes to ensure that rooms are set up in accordance to customer requirements.

  • Follow departmental SOPs ensuring that all standards are achieved.

  • Be the point of contact for our customers in their meeting space and surrounding area.

  • Answer all radio calls, customer requests and telephone enquiries such as assisting with equipment, providing advice and so on.

  • Update handover between shifts, keeping a clear line of communication with colleagues and customers.

  • Receive and distribute deliveries such as customer’s course materials, displays and technical equipment.

  • Service meeting spaces — tidy, replenish (pens etc.), empty bins & remove rubbish.

  • Tidy store rooms to ensure equipment is easily accessible.

  • Porterage — assist with customers’ luggage to rooms.

  • Utilisation of company vehicles to deliver/move equipment & materials

  • Ensure general security of the building, assistance with the final building closure and lock- up of rooms.



Health & Safety

  • Responsibility for health and safety of all staff and customers whilst on duty in compliance with current Health & Safety Regulations

  • Report Health and Safety issues, and report/rectify maintenance defects.



To undertake any other duties as from time to time maybe required commensurate with the grade of the post.
