Job Description


The Glasgow Office Manager will help to create that vital first impression for any callers or visitors (internal or external) to the office. You must be well-organised, resourceful, professional and enthusiastic, with a keen attention to detail. You must also be willing and able to support different parts of the business with administrative, front of house and housekeeping duties as required.

The Office Manager / Team Assistant will report to the Head of Development Services, and work closely together with the London Office Manager and receptionists.

As Office Manager / Team Assistant, you will often be the first point of call for both external and internal enquiries, so, in order to enjoy your job, you will need to enjoy supporting and helping others. You will also play a big part in setting the tone of the office, so we’re looking for someone who will project a positive image and be influential in fostering a strong and inclusive office culture, working in a busy and sometimes high-pressure environment.

As Office Manager / Team Assistant, your responsibilities will include:

  • Ensuring internal and external visitors are properly received and welcomed
  • Ensuring callers and enquirers are dealt with effectively and appropriately, and are directed to the appropriate internal team or contact, as required
  • Managing incoming and outgoing deliveries
  • Booking couriers, local transport and catering
  • Booking travel and accommodation
  • Setting up and managing service agreements via Procurement for cleaning, office maintenance and other essential services; building and maintaining relationships with service providers
  • Monitoring and purchasing of office supplies e.g. PPE, stationery, refreshments etc.
  • Processing of invoices and payments
  • Assisting in the preparation and running of meetings and conferences
  • Organising and/ or supporting events in and out of the office
  • Assisting with general housekeeping, ensuring the office always looks presentable and meeting rooms are kept clear, coffee machines replenished and cleaned
  • Helping to drive office culture, including good housekeeping and etiquette
  • Supporting different teams with administrative and project work as required
  • Adhering to the company values and business principles on sustainability, diversity & inclusion, equal opportunities and other policies, constantly seeking to improve corporate and personal knowledge
  • Participating in office inductions for new starters
  • Overseeing HSE in the office, leading or assisting in fire evacuations, risk assessments, emergency procedures and related issues (First Aid training also available)
  • Working with IT to maintain smooth running of systems and connectivity, and on control of hardware issue and spares
  • Attending regular Teams meetings with London office management team, and other Statkraft offices from time to time
  • Undertaking occasional UK and international travel

  • Previous experience in a similar role would be an advantage, but is not essential.
