Job Description


We are looking for an enthusiastic HR Assistant to come and join the London team.

This is an important, confidential and fast-paced function in a creative environment full of big personalities.

We are looking for a self-starter, someone who is confident with large volumes of admin and is brilliant at the detail as well as being a pro-active, positive member of a small Talent team.

This is a 360 support role that connects various elements of the agency recruitment, induction, benefits, payroll, training, health & safety and overall HR administration.

We are looking for someone who will build strong professional relationships throughout the agency, who is approachable, adaptable, collaborative and patient.

Main responsibilities:

  • Manage end to end new joiner process
  • Manage end to end leaver process
  • Liaising with shared services centre for payroll and benefits processing and queries
  • Book and confirm all new starter inductions and exit interviews
  • Conduct HR inductions / Exit interviews (Junior Level)
  • Training Admin (External/Internal): Book courses direct through suppliers. Update training tracker on a monthly basis, record and track training costs against budget, working with the team.
  • Send out training invitations and coordinate attendance for internal courses including setting up rooms, monitoring attendance and owning the internal training calendar
  • Collate training feedback
  • Recruitment approvals, tracking
  • Freelance management - approvals, contracts and setup
  • Visa tracking/right to work checks
  • Notetaking
  • Ownership of HR systems – holiday, HRIS
  • Monthly and ad hoc reporting
  • Processing invoices, raising PO’s
  • First point of contact for all Talent related queries

Qualifications
  • You are someone who enjoys working in an administration capacity
  • Strong IT skills, Word, Excel and PowerPoint and experience of HR database reporting
  • Excellent written and verbal communication skills, ability to gain trust and forge strong relationships with everyone
  • Strong people skills, ability to be an ambassador for the Talent team / agency
  • Ability to remain calm during busy times and able to juggle various projects
  • Maturity, empathy and discretion. Trusted to deal with sensitive information or situations
  • Excellent attention to detail and numeracy, dealing with salary data, invoices etc
  • Proactive and organised
