About the role

The Purchasing team are responsible for sourcing and stocking products and services via the most cost-effective method, whilst balancing both customer and business needs. Supporting company operations as the primary buyer of goods and services, the Purchasing team place and expedite purchase orders, negotiate with suppliers to achieve the best possible price and value in a timely manner. The department operates in a challenging environment which is constantly changing, strong procurement efficiencies and processes must be followed to target areas such as innovation, integrity, costs, risks and overall value. The buyer will need to develop and maintain proactive and positive relationships with internal and external stakeholders, such as suppliers and internal departments to ensure requirements are met.

Some key Responsibilities are:

  • Use of a task management System in order to prioritise work and ensure SLA’s are met
  • Place orders with suppliers, obtaining written confirmation that the order has been processed
  • Negotiate and identify the best price, availability, quality and value on all products/services using an RFQ process
  • Assist the Senior Buyers to ensure budgets and forecast targets are met
  • Own and manage product sourcing, pricing and lead time management for run rate and special-order items
  • Ensure product portfolio and supplier information is accurate and kept up to date, including code maintenance
  • Assist the sales team with product and price enquiries to ensure customer requirements are managed and dealt with effectively and in a collaborative manner
  • Own and manage all backorders appropriately, ensuring that delays and errors are kept to a minimum
  • Ensure all ETA and lead time information is requested and available to the sales team in which notes are clearly recorded. Other departments should be updated regularly and any unexpected changes are proactively communicated to the appropriate team member
  • Understand current stock levels and assist the Senior Buyers to identify and reduce costs associated with aged and ex-demo stock
  • Ensure the negative impact of all customer order cancellations and returns is minimised through supplier negotiation and effective communication of any incurred restocking fee
  • Establish long-term relationships with suppliers, vendors and internal stakeholders to ensure that the business gains competitive advantage in the channel and can effectively foresee and respond to changes in a timely manner
  • Ensure supplier and vendor terms and conditions are adhered to, including and understanding of partnership territories
  • Monitor and evaluate supplier performance such as quality, availability and cost’s as per departmental policy
  • Handle supplier relationhips as per the company ISO 9001 and ISO 27001 procedures
  • Process supplier returns and maintain and up to date non-conformance system, to adhere to ISO 9001
  • Proactively notify the accounts department when orders are complete to ensure customers are invoiced promptly
  • You may also be required to carry out any other duties which may reasonably be required

About you

Essential:

  • An interest in developing knowledge of procurement and products within the IT sector
  • Strong, proactive communication skills, able to gain commitment and buy-in to a common vision and clearly stated goals
  • Commercial acumen providing the ability to make and justify decisions
  • Desire to provide excellent service to both internal and external stakeholders
  • Possesses the energy, passion, resilience and commitement required to realise goals
  • Ability to `think outside the box’ to offer achievable solutions under pressure
  • Always demonstrate a professional manner when dealing with internal customers and our external supply chain partners
  • Flexible, positive, team-centric attitude, and able to adapt to the constantly evolving landscape
  • Possess a “can do” attitude • Understands the necessity, can prioritise workload and meet deadlines
  • Previous experience of working within a busy procurement function
  • A keen eye for detail and committed to getting the best results first time
  • Organised and methodical in approach Desirable

Desirable:

  • Educated to at least Maths and English grade C GCSE or above
  • Ideally a BTEC in Business Administration or IT
  • Has worked in a procurement department within the IT sector
