Clinical Booking Clerk - Booking/Contact Team PASS

We're looking for a Booking Clerk to join our busy Patient Services Admin Team.

You will be based at our Booking Centre at Doncaster .

The department is open 5 days a week and the role will include working Monday - Friday between 9am - 5 pm/ 8am - 4pm not including Bank Holidays or weekends .

The post holder will work actioning booking appointments and taking calls from patients to negotiate new dates/times. The role involves working with divisions understanding and escalating capacity and demand issues.

Understanding/ utilising multiple reports to ensure clinical sessions are accurately booked.

Printing/scanning referrals for clinical triage through the E- Referral system.

Processing/actioning responses from text messages with Doctor Dr online system and email request changes.

The Patient Services Admin Team is fully committed to effective appraisal and any training and development will be actively encouraged and supported.

Please note this a non patient facing role.

Working with a team of highly committed staff, to provide a first class and effective Booking /Contact service within Patient Services Admin.

Provide administrative service support to facilitate the patient pathway.

Work flexibly to provide a booking service, , call centre cover, processing of referrals and undertaking a range of general admin tasks.

Build and maintain close working relationships across the clinical administrative teams, using Standard Operating Procedures (SOP’s) to ensure functions of the role are carried out correctly and within given timescales.

Ensure accurate data recording using the Patient Administration System (PAS) and E-referral and other systems; and via the use of multiple reports book outpatient appointments in accordance with clinical instruction and national/local waiting time target dates.

Booking / Contact

• Liaise as appropriate with clinicians and clinical administration teams to ensure correct recording of patient pathways.
• Provide an outpatient booking service, using agreed processes to ensure effective use of clinic capacity in accordance with national/local/clinically instructed waiting times.
• Using Patient Dashboard reports , proactively monitor review lists to ensure patients are appointed in line with clinical. instruction/national/local waiting times, escalating where capacity does not allow.
• Application of relevant policies/SOPs to ensure consistent services are delivered.
• Attend meetings for service development initiatives as required
• Follow internal escalation processes.
• Take calls and action appropriately and timely with a friendly and polite disposition.
