Role Purpose:

  • The Operations Environmental Administrator works within the General Operations Team and acts as an operational contact for customers and suppliers to facilitate their requirements whilst meeting the agreed service level.
  • This includes booking collections with suppliers for customers, creating orders on our sales system and obtaining competitively priced quotations from our contracted suppliers.
  • Ensuring our Waste Management Services are completed on time and in full is key to the smooth running of our customer's operations.
  • All work completed is confirmed by the supplier and must be validated for timely invoicing and reporting which is crucial to ensure cash flow and revenue is in a positive position.
  • Other activity includes maintaining compliance documentation, customer reporting and supporting invoice queries.

Accountabilities:

  • Provide outstanding Customer Service ensuring all calls are closed within SLA
  • Managing and resolving customer complaints escalating to Operations Support Manager as required. Using CAPA process to identify root cause and corrective actions
  • Providing excellent customer service by maintaining customer relationships; processing customer orders, query resolution and the timely delivery of services
  • Providing customers with product and service information and researching information or services as needed
  • Processing orders, forms, quotes and applications
  • Make courtesy calls to customers to ensure customer satisfaction
  • Ensure new services or changes to customer contracts are completed as per process
  • Ensuring all suppliers submit their confirmations by Monday 1700. Working through the data, fixing any queries and ensuring order confirmations are 100% accurate.
  • Production and circulation of Annual Waste Transfer Notes as and when required.
  • Maintain existing supplier relationships with regards to the confirmation of customer orders, query resolution and fixing any system issues
  • Updating customers contracts on the Sales Order System and ensuring customer & supplier information is kept up to date on the core systems
  • Investigating and resolving invoice discrepancies
  • Training suppliers and support them with Tour confirmations
  • Running Customer reports, validating and correcting anomalies prior to sharing data
  • Identify and support implementation of CI initiatives across the department
  • Challenge existing practices to enable improvement to process

Requirements:

  • Understanding of Supply Chain
  • 1 year + experience working in a customer service centre, control tower or logistics role
  • Self starter with initiative to find solutions, drive completion of tasks, process improvement and meet KPI's
  • Supplier and customer relationship management
  • Sound (O Level) education or equivalent in core subjects - Mathematics/English
